    Need a big bit of advice

    Unfortunatly my place of work had a break in and a lot of stuff was stolen from our server room. This included a HUGE safe that contained all our Microsoft licensing and another few systems that held a lot of info on these licences.

    I am wondering, if I only have proof of purchase but no other info how do I go about sorting this out? I am a little in the dark on how the insurace works in this area as this is the first time this has happened to me.

    Do your finance department have PO numbers that they can trace? How were your licenses purchased? (ie what kind of deal do you have with Microsoft, and will they replace your licenses?)

    I have all the info sent to me from Dell via PDF including all the purchase recipts.

    sorry to hear about that, here is a few things to go about if you are having trouble trawling through those PO

    1) Contact the supplier you normally deal with, usually they will have the details of serial numbers for your various cisco switches/routers etc that you can then get hold of.

    2) Microsoft licensing, depends if you did the licensing direct with microsoft or with a 3rd party supplier. Either way get in touch with them straight away in order to get more information

    3) Take photos of where the doors/windows were forced in and keep in mind they will most likely ask to see the police report as wel

    4) Involve your facilities manager if you have one to show the documentation that the server room was secure in the first place would also play an important part I imagine. Otherwise, insurance might turn around and state something banal like "you should have locked the door"

    Since you have all the original purchase receipts from Dell, that will go a long way but if you have any up to date inventory on your servers that would also be good. Once you have the full list of things, then you can present them to the insurance company and be prepared to receive a grilling from their insurance agent should they send one.

    I will try and talk to my facilities manager who normally handles the insurance to see if there are any procedures that should be done.

    Volume licence information can be retrieved of MVLS or eOpen.

    OEM I think you have to go back to Dell to get proof of ownership etc.

    Retail box....you probably would need to have the original PO to prove you owned that and approach Microsoft.

    Just talked to my facilities manager

    security system:
    1) setup of access system/alarm system
    2) what was supposed to happen when security system was bypassed,.i.e, alarm if access control system is bypassed and if there are any logs
    3) CCTV and where it is located and if the thieves can be spotted on it

    unfortunately, the general idea is that the insurance firm will look for any chance to not pay the full insurance based on any flaws in your security system but apparently I am correct in the advice I have provided in my previous post

    We did get them on the CCTV, the server room actually has a CCTV cam as well!

    The Police have been and taken the footage so what I will need to do is get a list of everything that has been taken, get the purchase recipts for them and also give a list of where they where stored.

    I can then pass this up to the company secretery for her to pass onto the insurace company with the police incident number.

    I have called Dell as they are the OEM providers of the Licences they said call Microsoft who in turn said cal Dell. I can see where this is going!

    They took a large impliment to the door and smashed it....

    Its an utter nightmare, on the edge of a total breakdown to be honest, probably the worst two weeks of my entire life.
