    Teehee, Nameserver change killed our email

    Teehee, Oh what fun I've had in the last 24 hours.

    Our Website is looked after by our marketing team and an external web dev & is hosted externally. We (IT) have no input in it, and I think thats perhaps about to change.

    I've known nothing about the plans, other than the fact we're expecting a new website...

    However, Yesterday at about 11am, we lost all our email facilities.

    At first I thought it was a user error, then as more reports came in, it was apparent that something severe had gone on. Calls to Geotrust, our ISP and our Web Dev quickly pieced together the puzzle.

    Our marketing team had advised the nameservers to be changed from the host we're leaving to our new host. Apparently understanding that the configuration at the new host was correct.

    Our new host didn't have the MX setup correctly and I've had some serious fun in the last 24 hours having to resolve all this.

    To be honest, I've quite enjoyed it.

    All this due to lack of communication...

    Ah yes, I've been down that road of Marketing departments being involved in domain purchases and the mess that follows.

    The best bit is when you tell them that it can take up 24-48 hours for DNS changes to propagate around the world and they ask if you can make it go faster

    Yep, we had that, head of marketing was like: well cancel the changes and put it back...

    Telling him you still have to wait upto 24-48 to go back or forwards resulted in such a face

    Anyway, as the new host was unavailable (how good they must be) I instructed they put the NS's back this morning @ 9:45, at least emails are starting to come in now.

    so what your saying is that a none IT related marketing department have access/authority to change the name servers for you whole business domain ?

    Perhaps this should be pointed out to some level of senior managment, I'm VERY surprised your IT manager allowed access to the companies root records outside of the IT department.

    Sounds shoddy.

    Depends on the size of the Company really - if company outsources its web design ( which many small companies do ) then those samll scale designers tend to sell the hosting and domain name as part of the deal.If they are any good , then they would liase to ensure correct MX records are there ( sometimes this can be a bit of an evolution as a company grows from pop mailboxes to their own mail server ) this means that marketing folk who didn't know about the mx records assume that just the website is there so when they redo the site with whoever is the cheapest bidder on their tesco value hostnig deal with absolutly no independant dns control , it plays havoc with the mail

    I've seen it happen with small clients when I was working in outsourcing , who felt that their website wasn't any of our business, so didn't bother to inform us they where moving hosts.

    I'm only theorising,

    I just find it odd.

    As you said, I've seen it where small companies give everything webby/IT to an external company, but as Vini is working for them, surley he should be involved and actually make the technical communications at least, even if the marketing dept are calling the shots

    It's as moby describes, we're not huge.

    Theres 3 in IT and 3 in Marketing. I'm hoping that because of this I can be given the responsibility of/part responsibility of the web side of stuff.

    Also, from this, I think an increase on Communication - of which we're meant to be award winning - will be noticeable.

    I'm just happy that I've been able to stand out and hopefully show my worth, by getting it sorted.

    I must add that whoever changes the hosting should check the contents of the DNS zone before moving it.
    If management/marketing go for the cheapest possible solution without consulting their IT dpet, they deserve everything they get. Up themselves pillocks.
