no one can refute that scan's order system (no live stock) causes problems
I have got in the habit of trawling through my orders after a day or so to check that nothing has gone out of stock
my suggestion is this
when you log in and go to the invoice

it does not show if an item is out of stock, could the code not be changed to show stock status on the invoice page so the customer would instantly know there is going to be a problem and they can then substitute the offending item/s
